Hello, festive friends!

We're putting out the call for pinch hitters who can step up in case any of our participants need to drop out of the fest.

Signing up to be a pinch hitter does not mean that you will have to participate but if we have an assignment that needs to be filled, we will contact you to see if you are willing to take it on.

Remember that pinch hitters often have a shorter time schedule for creating works but that they a real saving grace. (We love you!) You do not need to be a writer or artist already signed up for this fest to be a pinch hitter.

If you are signed up already as either a writer or an artist for the fest, we'll only contact you if you have already turned in your original assignment. If you are interested in being in the pool of pinch hitters, please copy and paste the following form into a comment box and fill it out accordingly.

Please make sure to use an email address that you check often.

Please note: You must have an AO3 account to pinch-hit.

Thank you everyone! <3

With the deadline fast approaching, here are the submission instructions!

There are just two steps:

1. Post your work to the AO3 collection

  • When you're ready to submit, all you have to do is rock on over to AO3 and click on "My Assignments" on your user menu. Find your Merlin Holidays assignment, click on "Fulfill" and then fill out all the necessary bits of the usual upload form. The collection name and your recipient should be pre-filled for you. Your submission must be a standalone work that is complete at posting time.

  • Alternatively, you can also go to the Merlin Holidays 2021 collection on AO3 and click on "Post to Collection." That will pre-fill the collection name, but not your recipient.

  • The collection is set to await the Mods' approval for the works submitted so you may see a message that it's awaiting approval. You will also see a message that says  "This work is part of an ongoing challenge and will be revealed soon!" at the top.

Important: Please only list the Merlin Holidays 2021 collection under collections. If you also include the one called "Merlin Holidays", your work will be impossible for us to reveal.

Content Notes: We will be following the AO3 warnings scheme for our fest. If your fanwork contains Graphic Depictions of Violence, Major Character Death, Rape/Non-con and/or Underage, you must include these warnings in your header Content Notes and your AO3 post. You may add additional tags you feel are appropriate for your fanwork.

Posting Notes: All submissions will be listed and held as Mystery Works in the collection until posting begins. Mods will be posting 1-3 fanworks per day for the duration of the fest. We will also post headers on this community and our Tumblr & Twitter when new works are revealed, with a link to your fanwork on AO3. Fanworks may not be posted anywhere outside of our AO3 collection prior to the conclusion of the fest. Once the reveals go up, you can crosspost to your heart's content.

2. Email us your header

  • Once you’ve successfully uploaded your fanwork to our AO3 collection, we need your header! Email us at merlinholidays@gmail.com with the information we will use to announce and promote your fanwork on this community and on our Tumblr and Twitter.

  • In the subject line, please put: From [your AO3 name] to [recipient's AO3 name]

  • Copy the contents of whichever of the below box applies to your fanwork and paste into the body of your email and fill in the relevant details:

For Fic:

For Art:

Note that you can edit your fic/art on AO3 up until your posting date, even after you've posted it for our submission deadline. If anything changes in your header, you'll have to email us, though, so it all matches!

An important note about Published Dates on fest fanworks on AO3:

AO3 uses the date a fanwork is uploaded as the Published Date, this means that your work may be quite buried in the tags on AO3 when it's revealed on your posting date. For example, if someone uploads their work to the collection on Nov 23 but their work isn't posted to the collection until Dec 16, their work may end up on page 10 of the recent works list for the Merlin fandom along with all the other works posted on Nov 23rd.

Luckily, AO3 has provided us with a very easy work-around: simply edit your work on the day of your assigned posting date and change the Published Date to the current date. By doing so, you can ensure that your fanwork will appear at the top of the recent works list on the day your work is revealed. AO3 won't allow you to enter a future date, so we will be emailing everyone to advise them of their scheduled posting date so that they can update it.

This is entirely optional, we just want to give you the chance for the widest audience possible for the work you created for the fest.

We hope your creative process is going well and we're looking forward to receiving your submissions!

tra-la-la-la-laaa  la-la-la-la!

Assignments for Merlin Holidays are now out, three days earlier than expected!
All participants should now have received their assignements via AO3, followed by an email from us with an invitation to our new Discord.

Please remember that while the elves have done their absolute best to match everyone, there will always be matches that don't overlap 100% when we're pairing up different people with different tastes and ships and preferences.

Some of you may find assignments that also list things you don't particularly like, but you're in no way obligated to include those things. Focus on the things you do want to create and remember that prompts do not have to be used - they're a suggestion to guide you as to your recipient's likes and preferences.

The aim is to have fun, make things and to gift someone something that you think they will enjoy!

If you need us to ask your recipients for more info, or you have anything you want to discuss with us please email us at merlinholidays at gmail.com

Works are due December 1st, 2020. We will also be emailing participants with reminders and check-ins. If you're having trouble or feel overwhelmed, please reach out to us, we will do everything we can to help. If you need to drop out, please do so without delay so we can find a pinch-hitter to take your place. It's been a tough year for everyone and we hope the fest brings you all some joy at a much needed time, and if it's just too stressful for you, we will completely understand.

Now, Jingle all the way, and we will see you in December!

Put on your comfiest winter gear and grab your supplies because Merlin Holidays is coming to town! 2020 has been a year, but the holidays are still on the horizon in the distance and what would they be without some Merlin-themed treats?

We hope to see old and new faces join us in our cocoa-sipping, scented-candle-infused frenzy!

The schedule for Merlin Holidays 2020 is as follows:
Sign-ups open: Monday 14th September
Sign-ups close: Friday 24th September, 12pm UTC (What time is that for me?)

Posting begins: Monday 7th December

Welcome to the part of the fest where we all get to sit back and enjoy the fruits of your collective labour! Posting has started, and we're VERY excited to see and read your works.

Please leave comments and love for our creators as their works go live and remember to thank your gifter for the gift you receive! Getting a comment from the giftee is always an important part of the fest for many.

Remember that when your work is posted, you should change the posting date on your work to bump it into the recent works on AO3.

Posting dates are sent out by email and will be sent to you as soon as your work has been scheduled. If you haven't received one yet, don't worry!

We hope you enjoy the fest!

A handy sign-up guide we prepared earlier: https://merlin-holidays.livejournal.com/97956.html

Items of note this year:

  • Pairing nominations have been increased from 5 to 10 to improve chances of a solid match for all you rarepair lovers!

Reminders for all participants:

  • If you're open to receiving art, please also include some art-friendly prompts in your sign ups for the fabulous artists among us!

  • Be generous with prompts! Please give as many prompts as possible to enable easy matching, don't be shy! Remember that your gifter is going to need as much help as possible to give you something you will enjoy! If your requests are very few and very closed to interpretation, it will be very difficult to make sure you're happy with your gift! Give the elves as much to work with as you can, and be as open about them as you can to ensure a match and a happy outcome for all!

  • Be open minded with requests! Please remember that this is a gift exchange fest, and as such, you are signing up to write or create art for someone else's preferences and likes. There are bound to be elements of the request that do not suit your personal tastes, but we are asking all of you to keep an open mind about your giftee's requests, and to concentrate on the things you can do, rather than those you can't. Please remember that the mods work very hard to ensure that participants are carefully matched up. We don't rely on automation, we do this manually, one participant at a time! Please check your giftee's promps carefully and choose what you can work with and ignore what you can't (except the DNWs - please don't ignore those!).

Unfortunate but necessary updates to our rules:

  • Participants who default after receiving their gift will be banned from future participation

  • Participants who ghost (do not post on their scheduled day and do not get in touch with the mods) will be banned from future participation

  • Participants who defaulted after receiving their gift last year or who ghosted last year are not invited to participate this year. Please contact the mods on merlinholidays at gmail dot com if you're in doubt.
