With the deadline fast approaching, here are the submission instructions!

There are just two steps:

1. Post your work to the AO3 collection

  • When you're ready to submit, all you have to do is rock on over to AO3 and click on "My Assignments" on your user menu. Find your Merlin Holidays assignment, click on "Fulfill" and then fill out all the necessary bits of the usual upload form. The collection name and your recipient should be pre-filled for you. Your submission must be a standalone work that is complete at posting time.

  • Alternatively, you can also go to the Merlin Holidays 2021 collection on AO3 and click on "Post to Collection." That will pre-fill the collection name, but not your recipient.

  • The collection is set to await the Mods' approval for the works submitted so you may see a message that it's awaiting approval. You will also see a message that says  "This work is part of an ongoing challenge and will be revealed soon!" at the top.

Important: Please only list the Merlin Holidays 2021 collection under collections. If you also include the one called "Merlin Holidays", your work will be impossible for us to reveal.

Content Notes: We will be following the AO3 warnings scheme for our fest. If your fanwork contains Graphic Depictions of Violence, Major Character Death, Rape/Non-con and/or Underage, you must include these warnings in your header Content Notes and your AO3 post. You may add additional tags you feel are appropriate for your fanwork.

Posting Notes: All submissions will be listed and held as Mystery Works in the collection until posting begins. Mods will be posting 1-3 fanworks per day for the duration of the fest. We will also post headers on this community and our Tumblr & Twitter when new works are revealed, with a link to your fanwork on AO3. Fanworks may not be posted anywhere outside of our AO3 collection prior to the conclusion of the fest. Once the reveals go up, you can crosspost to your heart's content.

2. Email us your header

  • Once you’ve successfully uploaded your fanwork to our AO3 collection, we need your header! Email us at merlinholidays@gmail.com with the information we will use to announce and promote your fanwork on this community and on our Tumblr and Twitter.

  • In the subject line, please put: From [your AO3 name] to [recipient's AO3 name]

  • Copy the contents of whichever of the below box applies to your fanwork and paste into the body of your email and fill in the relevant details:

For Fic:

For Art:

Note that you can edit your fic/art on AO3 up until your posting date, even after you've posted it for our submission deadline. If anything changes in your header, you'll have to email us, though, so it all matches!

An important note about Published Dates on fest fanworks on AO3:

AO3 uses the date a fanwork is uploaded as the Published Date, this means that your work may be quite buried in the tags on AO3 when it's revealed on your posting date. For example, if someone uploads their work to the collection on Nov 23 but their work isn't posted to the collection until Dec 16, their work may end up on page 10 of the recent works list for the Merlin fandom along with all the other works posted on Nov 23rd.

Luckily, AO3 has provided us with a very easy work-around: simply edit your work on the day of your assigned posting date and change the Published Date to the current date. By doing so, you can ensure that your fanwork will appear at the top of the recent works list on the day your work is revealed. AO3 won't allow you to enter a future date, so we will be emailing everyone to advise them of their scheduled posting date so that they can update it.

This is entirely optional, we just want to give you the chance for the widest audience possible for the work you created for the fest.

We hope your creative process is going well and we're looking forward to receiving your submissions!

HELLO FRIENDS!
As we're sure you're all very aware, the deadline is fast approaching with its bells all jingly. December 4th is the day to mark on your calendars!

Mod note: As fate would have it (damnit Kilgharrah!), both mods have less internet-time than they usually do, so please don't panic if we don't respond to your emails right away! We'll be around over the weekend to answer things, but the answers may take a little time to squeeze their way into your inbox :)

AO3 tagging: Please refrain from using tumblr-style tags (e.g. feeeeeels, I don't know what to do with my face, etc.) on your AO3 entries while the fest is in progress. Tumblr tags are great on tumblr, but they aren’t helpful when trying to use AO3’s lovely search-by-tags function and we’d like to make it as easy as possible for people to find fest fanworks that are of interest to them. If you would like to go back and edit your work to include tumblr-style tags after the fest is over, you’re welcome to do so.

It's been delightful to see all the shiny presents rolling in under the Merlin Holidays tree over the last 24 hours! Thank you to everyone who's submitted so far!

A couple of notes:

* If you submitted your story to the archive, please don't forget to email us your headers, using the template in the submission guidelines post. We can't schedule you to post until we have that. Think of it as the wrapping for your gift!

* We know we said you can submit and then continue editing until posting begins, BUT that's really only for if you are done and waiting for a beta/need to tweak a bit more or just have another scene or two to finish up. If you really aren't almost-completely-done with your story, please DO NOT submit it to the collection. It's hella confusing for your poor mods and our glorious color-coded spreadsheet.

We can't count it as a submission or put you on the posting schedule if: (1) the story is still a draft on AO3 and we can't see it; (2) you only have a small amount of what's clearly a longer story; or (3) you put in a thousand words of non-Merlin text as a placeholder. Just ask for an extension! We're super easy, and it makes it less stressful for everyone.

KEEP CALM AND JINGLE ON.

Hello, busy, busy creators of Merliny goodness! As you've undoubtedly noticed, yon deadline approaches on the 30th of November, just six days from today. This means you have three upcoming tasks:

1. Finish your Merliny goodness!
2. Post your Merliny goodness to the AO3 collection
3. Send your headers to the modly email

When you're ready to submit, all you have to do is rock on over to AO3 and click on "My Assignments" on your user menu. We are happy to announce that sign-ups for the 2014 Merlin Holidays Exchange Fest will open one week from today: Monday, September 22, at 10 a.m. EDT/2 p.m. GMT/3 p.m. BST. Sign-ups will close at 10 a.m. EDT/2 p.m. GMT/3 p.m. BST on Thursday, September 25, or whenever we get an even number of participants.

Please note that sign-ups and matching (and all posting) will be through AO3 this year! If you need an AO3 account, please obtain one prior to sign-ups. We can help you with an invite if you need one.

Proxy sign ups: As the sign up form has to be submitted by you on AO3, we can't do proxy sign ups the way we have before. However, what we will do is the following: When sign ups open, someone can comment to our LJ post with A) your username and B) the time at which you're able to fill in the sign ups (you will have to be able to fill in the sign up form before sign ups close on September 25th) and we will hold a spot for you. If you are completely unavailable in this window of time, please contact us.

This is an anonymous exchange fest for Merlin fandom. All pairings and ratings are welcome! Below you will find community rules and the schedule. This is not a sign-up post. This is an information post so you can decide if this fest is for you!

1. All participants must be at least 18 years of age. No exceptions.

2. This fest has a limit of 40 writers, and artists are unlimited. New for 2014: sign-ups will take place through AO3. Don’t worry, we’ll provide a complete guide on to how to sign up!

3. This is a fanwork exchange, which means that you will sign up to create a gift work (art or fic) for another participant based on their prompts. In return, yet another participant will create a gift work for you based on your prompts. Then everyone celebrates!

4. For your request:
  • You must submit 3-5 distinct prompts for your gift creator to work with. You can give as much or as little detail as you like, but please try to strike a balance between giving your creator enough to work with versus overwhelming them and restricting their creativity.
  • You must choose whether you would like to receive fic, art, or either.
  • You must choose which eras you would like to see used for your gift.
  • You must choose at least one genre tag indicating what types of fic/art you’d like to receive (e.g., fluff, angst, adventure, etc.).
  • You must choose some freeform tags indicating various tropes or kinks that you would enjoy seeing in your gift (a minimum of 3, a maximum of 20)
  • You must indicate any tropes/kinks/genres that you absolutely would not enjoy seeing in your gift -- if you don’t indicate it here, it’s fair game!

  • For your offer:

  • You must choose whether you would like to create fic, art, or either.
  • You must choose at least one pairing you are willing to write or create art for.
  • You must choose the ratings and eras you would be willing to create.
  • You must choose at least one genre tag indicating what types of fic/art you feel willing and able to create (e.g., fluff, angst, adventure, etc.).
  • You must choose some freeform tags indicating various tropes or kinks that you would enjoy writing or creating art for (a minimum of 3, a maximum of 20).
  • You must indicate any tropes/kinks/genres that you absolutely would not want to write or create art for.

  • 5. You cannot choose the person for whom you will create a fanwork. You will be assigned a recipient via email after matching is complete. You will also be able to find your assignment on your AO3 dashboard.

    6. All fics must be at least 1,000 words. Fanvids must be at least 45 seconds long. Fanarts must be a complete piece and more than a sketch or preview (lines inked or seams blended). Gif sets must include at least 8 gifs that tie together to tell a story. All graphics should have some element of storytelling. There is no upper limit as to length or quality.

    7. You do not have to use all of the prompts or tags listed in your assignment (that would get messy fast!) Just focus on creating something you think your recipient would enjoy!

    8. All fanworks must be able to stand on their own and not be part of another series or a sequel/prequel to other works by the same fan.

    9. All works must be cleaned up and beta-ed. Please do not thank your beta(s) by name in your notes until after the reveals to preserve anonymity.

    10. The moderators reserve the right to return any fanwork for revision if they feel it does not meet the recipient's request, or does not meet the quality standards (beta-ed and cleaned-up).

    11. You will post your work to the Merlin Holidays collection on AO3 on or before the due date (see schedule). If you need an extension, you may request one no sooner than one week before the due date. If you know you will not be able to complete your assignment, please use the AO3 default button as soon as possible to give us time to find a pinch hitter for your recipient.

    12. All fanworks posted to the collection will be exclusive to Merlin Holidays until the names of the creators have been revealed. Please do not post them elsewhere on the Internet until that time.
